Pro-Mow Service Agreement Terms and Conditions

RENEWING SERVICES

All regular services will be renewed automatically on an annual basis. These services that Pro-Mow will keep active from year to year include weekly mowing, bag clipping and leaf removal; fertilizer programs; mulching, hedge and bush trimming, complete leaf removal and gutter cleaning. Cancellation of any service must be done in writing or by email prior to any service being done. Your online customer account portal is a great way to see your invoices, review your billing and payment history, update your payment method, request a service, and ask questions. Renewing services are not contracted services, you can cancel at any time. We simply renew services to ensure that the work is scheduled and performed in a timely manner (and it saves you from extra paperwork!).

Special requests or changes to your account/services must be approved by office management at least two business days prior to the service. Special requests or attempts to change your account/services through crew members on-site are prohibited and may result in additional costs or cancellation of services indefinitely.

Regular updates, communications, and billing are provided electronically. Please be sure to add us to your “Safe Sender / Not Junk / Not Spam” list. If you are uncertain of how to do this, please contact your email provider for assistance. All prices are subject to change. A fuel surcharge may be added to services. Terms and conditions are subject to change without previous notice to the customer.

BILLING & PAYMENTS

All accounts are required to have an active payment method on file. Failure to do so prevents your services from being scheduled. Payment for all services is due upon completion of each service. There is an added 3% fee for use of credit cards. A fuel surcharge may be added to all services. (Contact office for more information). An additional fee of $35 will be applied to accounts with returned check/ACH payments. Interest on unpaid balances will accrue at a rate of 2% or a minimum of $2.00 per month (annual rate of 24%) of the maximum allowed by law, on the unpaid balance after 31 days. After 60 days of delinquency, we may submit the account to a collection agency for processing and credit bureau for reporting. After 90 days of delinquency, a case may be filed in Small Claims Court, at which time we will seek reimbursement of finance charges, collection fees, and court costs in addition to the principal balance. All prices are subject to change. Terms and conditions may be subject to change without immediate notice to the customer.

DAMAGE & DISPUTES

Our foremen and crews are trained to inspect your property before and after each service. Should we accidentally cause damage, or note pre-existing damage, we will notify you as soon as possible. If you believe we caused damage and you did not receive notification, please contact the office within 5 business days of service. We have company procedures in place to address and correct concerns as quickly as possible. Sending pictures is always helpful to address concerns quickly. When we leave the property, the service is deemed satisfactory unless otherwise noted. After 5 days, the service is considered completed to your satisfaction. Pro-Mow will not be responsible for damage by mowers, string trimmers, or any other equipment to any permanent structure such as trees, fence panels and posts, house concrete foundation, siding, AC units, bird feeders, etc. if the structure does not have a minimum of 18” protective mulch or stone border around it. Pro-Mow shall not be responsible for damage to irrigation pipes, outdoor lighting, and invisible pet fences unless the customer has clearly marked all underground pipes and wiring prior to start of work.

SERVICE DESCRIPTIONS & SCHEDULING

Our services do not require the homeowner’s presence; however, we require that you inform our office staff, in advance, of any special requirements needed to access the property. We do our best to accommodate our customers, however, mostly due to weather delays, scheduling is subject to change at any time. Unconfirmed appointments may be moved to the next available opening. We will inform you of any changes to the schedule as early as possible.

SCHEDULING (MOWING): Weekly mowing is scheduled for the same day each week. If uncontrollable conditions prevent us from maintaining lawns on the scheduled day, we will come the next business day (including Saturday). The next week’s visit will be on the regularly scheduled day (assuming it’s at least 4 or more days from the off-schedule visit). If the lawn is skipped at your request, and we find the lawn to be overgrown on our next visit, a fee will be added to the “per visit price” to cover additional time needed to perform maintenance and/or extra wear on our equipment. A fee will be added for multiple skips per season. If an irrigation system is present on your property, please adjust run times so that your system does not run at least 24 hours prior to your regularly scheduled service day.

Weekly Mow, Trim & Edge: (April-November) Weekly mowing of all grass areas is scheduled every 7 days. Regularly scheduled maintenance helps promote healthy turf by maintaining proper height. Additionally, we will string-trim included areas not accessible by mower, edge at curbs, sidewalks, and blow clippings.

Available services in conjunction with weekly mowing:

Bag Clippings: (April-September) Clippings are removed with each service until leaves accumulate on grass areas.

Leaf Removal: (October-November) Leaves are removed with each service once they begin to accumulate.

SCHEDULING (ONE-TIME SERVICES): Once your service is scheduled, customers who provide an email address will receive an email requiring confirmation. Our services do not require the homeowner’s presence, although we ask that you make the office aware of any special requirements to access the property. We do our best to accommodate our customers, however, due to the high volume of orders and weather delays out of our control, scheduling is subject to change at any time. Unconfirmed appointments may be moved to the end of the schedule. We will let you know of any changes to the schedule as early as possible.

Mulching – Removal of weeds, leaves, and debris from existing mulched areas. Edges will be re-defined to provide a neat and distinct division between turf and mulch. Application of granular pre-emergent weed control to all mulched areas. Installation of premium grade, double shredded hardwood mulch at a consistent 2” depth.

Hedge & Bush Trimming – Shrubs will be pruned and shaped to improve appearance and control size. This encourages air circulation, sunlight penetration, rejuvenates old plants or produces stronger young plants. This service does not include trees or grasses, unless otherwise noted. Flowering shrubs will not be pruned.

Complete Leaf Removal – This is a clean-up of the entire property to improve growing conditions, allow sunlight and eliminate excessive moisture. Service areas may include but are not limited to grass areas, mulch and landscape beds, fence lines, and stairwells. (Wooded areas upon request).

Gutter Cleaning – Removal of leaves and debris then flushed with water if accessible. Service not available for homes with gutter guards/leaf filters.

Core Aeration & Over-Seeding As described in our Premium Care Fertilization Program, core aeration and over-seeding is also offered in the spring and fall as a one-time service. This service is highly recommended in conjunction with a fertilization program to achieve the best results.

Compost Top-Dressing – Compost is an organic matter that is beneficial to plant growth. Compost contains natural plant nutrients such as leaves, grass, and brush which produces a stable, highly beneficial product (and environmentally friendly!). Top-dressing makes an excellent seed bed in previously bare and compacted soil areas.

Pelletized Compost Application – Granular form of organic compost applied by broadcast spreader. This is a great addition to core aeration & over-seeding without fertilization services.

Vegetation Control – Post emergent application penetrates root systems to eliminate existing weeds. Pre-emergent product helps prevent future germination. Service areas may include, but are not limited to mulched areas, stone areas, patios, and driveways. Poison Ivy programs are available upon request.

SCHEDULING (FERTILIZATION): Our office will notify you prior to your service via e-mail. Program services #1-5 are scheduled 6-8 weeks apart. This allows our slow-release fertilizers to continue feeding your lawn throughout the growing season. Summer service is primarily a weed control service, not a fertilizer application. Most all Grub Prevention applications will be done in conjunction with your Late Spring service (summer months are when grubs begin feeding on lawns). Lime applications will be done in conjunction with your Summer service in order to help prepare soils for fall over-seeding and increased fertilizer solubility aiding in summer stress recovery. Upon completion of each service our technician will leave an informational bulletin and a small yard sign notifying you that we were at the property.

Basic Care Program Basic lawn needs including fertilization and weed control. Additional services may be recommended as conditions develop.

  1. Early Spring: (Late February-mid April) Blended fertilizers are applied to enhance spring green up, root development for increased turf density, and pre-emergent barrier for the control of crabgrass and grassy weeds. Broad leaf weed control is applied as needed.
  2. Late Spring: (April-June) Slow-release fertilizers are applied for controlled color, growth and a second application of pre-emergent crabgrass barrier for prolonged control. Broad leaf weed control is applied as needed.
  3. Summer: (July-August) Inspection and treatment. Broad leaf weed control is applied as needed.
  4. Early Fall: (September-October) Slow and fast release fertilizers are applied to aid in summer stress recovery and enhance fall color. Broad leaf weed control is applied as needed.
  5. Late Fall: (November-December) Specially blended fertilizers are applied to enhance root development and early spring green up. Broad leaf weed control is applied as needed.

Basic Care PLUS ProgramBasic lawn needs including fertilization and weed control PLUS grub preventative and lime application during late spring/summer months.

  1. Grub Preventative: (April-early June) Treatment is applied to control all beetle species and their larvae. This treatment is guaranteed for one year.
  2. Lime Application: (June-September) Primarily a soil conditioner, not a fertilizer. Lime functions to temporarily reduce soil acidity, provide plant nutrients, aid in fertilizer solubility and reduce the toxicity of certain damaging elements.

Premium Care ProgramOptimum lawn maintenance including fertilization and weed control PLUS grub preventative and lime application during late spring/summer months. The program also includes fall core aeration and over seeding with premium certified Tall Fescue.

  1. Core Aeration with Over-Seeding: (September-mid November) During this process, a powered device is rolled over your lawn with metal tubes penetrating several inches, removing cores of thatch and soil then depositing them on the surface. These cores create holes which allow air, water, and other organic matter to reach the root system. Throughout the growing season these holes make room for soil to loosen and permit root growth. Your lawn is then over seeded with the highest quality seed available.
